Supplier price-change alerts from invoices (Make recipe)

Published October 29, 2026 · OpsRecipes are tested patterns, not vendor endorsements.

Outcome: Get an alert the day a contracted or top-spend item's price rises more than 5% on an invoice.

What you need

  • A dedicated invoices@ inbox that receives distributor PDFs
  • Make
  • An AI/OCR module to extract line items
  • Google Sheets with your item list and contract prices

Steps

  1. Watch Emails (Gmail/Outlook) module: new message with PDF attachment in the invoices folder.
  2. AI module: extract vendor, date, item, pack size, unit price as JSON.
  3. Iterator: loop each line; Search Rows in the price sheet by item/vendor.
  4. Filter: unit price > last price × 1.05 or > contract price.
  5. Add Row to a 'price changes' tab, and send a Slack/email alert with item, old vs new price and invoice link.
  6. Weekly scheduled scenario: summarize all changes for the purchasing meeting.
Watch out: Match on vendor item codes, not names; pack-size changes often look like price increases.

Check your company's data and AI policies before sending guest or vendor data to any third-party tool.
